Look, we're architects, not data miners. We collect what we need to do our job and keep your project info safe. That's pretty much it.

When you reach out to us about a project or just to chat about winter-proofing your building, we'll ask for the basics - your name, email, phone number, and where your project's located. If we're working together, we'll need property details, site info, and whatever else helps us design something that won't buckle under three feet of snow.

Our website collects standard stuff like IP addresses and browser types through cookies. Nothing creepy, just helps us figure out if our site's actually working properly on different devices.

We also keep records of our conversations, project files, design revisions, and billing info. Y'know, the usual business documentation that keeps projects from going sideways.

Pretty straightforward - we use your info to design your building, communicate with you about the project, send invoices, and handle all the technical coordination with engineers and contractors.

Sometimes we'll send updates about our studio or share insights about northern architecture if you've signed up for that. You can opt out anytime, no hard feelings.

We might also use anonymized project data for case studies or our portfolio, but we'll always ask permission first if it's anything identifiable. We're not gonna plaster your lakeside cabin all over Instagram without checking with you.

We don't sell your information. Period. That's not our business model and honestly it'd be weird.

Your project details get shared with our team members working on your design, and with consultants like structural engineers or energy specialists when needed. Everyone signs confidentiality agreements.

We use cloud services for file storage and project management - companies like Google Workspace and Dropbox. They've got their own privacy policies, but we pick providers with solid security standards.

If the law requires it or we get a legit court order, we'll have to share information. We'll let you know if that happens unless we're legally prohibited from doing so.

Yeah, we use cookies. Not the chocolate chip kind, unfortunately.

They help us remember if you've visited before, keep track of your preferences, and understand which pages people actually look at. Basic analytics really.

You can disable cookies in your browser settings if you want, though some parts of the site might not work as smoothly. Most browsers let you control this pretty easily.

We use Google Analytics to see general traffic patterns. It's anonymized data - we can't tell that "Susan from Edmonton" visited at 3pm, just that someone from Edmonton checked out our portfolio page.

We take security seriously. Our systems use encryption for data transmission, secure servers for storage, and we limit who on our team can access sensitive client information.

All our computers and devices have password protection and encryption. We do regular backups so your project files won't vanish if someone spills coffee on a server.

Physical documents get locked up when not in use, and we shred stuff properly when we're done with it.

That said, no system's 100% bulletproof. We do our best, but we can't guarantee absolute security - nobody honestly can. If there's ever a data breach, we'll let you know right away.

Under Canadian privacy laws (PIPEDA specifically), you've got rights about your personal information:

  • You can ask to see what info we have about you
  • Request corrections if something's wrong
  • Ask us to delete your data (with some exceptions for legal or contractual requirements)
  • Withdraw consent for marketing communications
  • File a complaint with the Privacy Commissioner if you think we've messed up

Just shoot us an email at info@frostwardx.info and we'll handle your request. We'll respond within 30 days, usually faster.

We keep project files and client information for seven years after project completion. That's partly for legal reasons (building codes, liability stuff) and partly because clients sometimes come back years later asking about their original plans.

Marketing contact info gets kept until you ask us to delete it or we notice you haven't engaged with us in several years.

Financial records follow standard accounting retention requirements - usually seven years for tax purposes.

Our website might link to suppliers, material manufacturers, or other resources we think are helpful. Once you click through to their sites, our privacy policy doesn't apply anymore.

Check their privacy policies if you're concerned about how they handle data. We try to only link to reputable companies, but we're not responsible for their practices.

We'll update this privacy policy occasionally as our practices evolve or laws change. When we make significant changes, we'll post a notice on our website and update the date at the top.

For existing clients, we'll send an email if changes materially affect how we handle your information. Otherwise, continuing to use our services means you're cool with the updated policy.

If something in this policy doesn't make sense or you've got privacy concerns, just reach out. We'd rather have a conversation than have you worrying about it.
